Getting started

What does VacciFly actually do?

Informed by thousands of vaccination records of varying quality from different countries, with input from clinicians worldwide. VacciFly reads the vaccination records you upload and compares the documented evidence with selected destination schedules. Your report separates recorded doses, potential catch-up needs and anything that needs clinical or record review.

Can I check my whole family?

Yes. Add each traveler and upload their own records. Each person receives a separate assessment based on their date of birth, destination and planned departure. Pricing is per traveler, with one combined checkout.

How long does a check take?

Processing time depends on the record’s complexity, handwriting, page count and image quality, as well as connection speed and service demand. The app shows elapsed time and an estimated time remaining during OCR reading and destination mapping. Other steps show a simple progress message. Each person’s record is processed separately, with time for you to review the extracted details.

Does every destination have the same coverage?

No. All 26 destinations support an organised history report. Selected destinations also have automated checks for part of their routine or catch-up schedules. Other vaccines, clinical risks and local requirements need clinical review. The scope is shown before you start.

How does the departure date affect the report?

The assessment uses each traveler's date of birth and age at the planned departure date. This helps identify potential catch-up before a move, including milestones reached before departure. If you leave the date blank, today's assessment date is used. A clinician confirms minimum intervals and whether a course can be completed in time.

What if my patient has already arrived?

Use the patient workflow and enter the actual arrival date. An arrival today or in the past is recorded as context; the assessment uses today’s age. A future arrival adds planning through that date. Leave arrival blank when it is unknown. The report shows recorded doses separately from proposed catch-up.

Can I use VacciFly on a phone or tablet?

Yes. Use a current browser on your phone, tablet or computer. You can photograph records with your device and upload supported files. Keep your private check link to resume on another device; files selected but not yet uploaded stay only in the original browser session.

What if my records are handwritten or in another language?

Upload a clear photo or PDF of the original record. VacciFly brings supported languages, record formats and vaccine brand names into a consistent English report for your destination, while retaining the source wording. Handwriting, faint dates and unfamiliar products may need confirmation. Coverage varies; this is not a certified translation.

Is this an official vaccination certificate?

No. Your report is a planning aid to discuss with your healthcare professional. It does not certify immunity or replace an official vaccination record, visa medical examination, school assessment or immigration clearance.

Can planning before departure save my family money?

It may. Use the report to discuss catch-up options with your local clinician before moving, then compare the actual cost and availability at home and at your destination. Some destination programmes provide free or subsidised vaccines, so savings are not guaranteed. Your clinician confirms which doses are appropriate and can fit before departure.

How can this help with my child's school enrolment?

Organising the records and discussing possible catch-up before you move can reduce last-minute paperwork and appointments. Bring the report and original records to your destination provider. School documentation and local immunisation-register requirements vary; VacciFly does not issue enrolment clearance or replace the official documents required by the school.

Which files can I upload?

Upload clear JPEG, PNG, WebP or GIF images and PDFs, or take photos of your records. Each person can have up to four images or PDF pages in total, with a maximum of 2 MB (2 MiB) per file. For example, a two-page PDF plus two photos uses all four pages. A check can include up to six people; their documents are read in parallel and kept with the right person. Convert HEIC images first and keep all dated vaccination entries visible.

What happens to uncertain handwriting or vaccine dates?

Unclear or conflicting readings stay flagged for review. A printed schedule, due date, tick or vaccine sticker without a confirmed administration date is not automatically treated as proof that a dose was given. Compare the source image and extracted details before continuing.

Can I correct a mistake in the extracted history?

Yes. Review the extracted details against the original records and correct supported details before preparing the assessment. Material changes require the assessment to be recalculated. Ask support if a saved record cannot be corrected in the workflow; do not invent a date to remove a review flag.

Does VacciFly update an official immunisation register?

No. Your healthcare professional or authorised local service handles official register entries, school forms and professional sign-off. Bring both the VacciFly report and the original records.

Privacy & security

Are my records stored online?

Records are stored temporarily to prepare your check. After your browser receives the complete PDF and starts saving it, the check closes and its uploaded records, extracted data and report are automatically deleted from active VacciFly storage. Payment records and separately submitted feedback remain separate. AI-provider retention, backups and copies already emailed or downloaded are covered separately in the privacy notice.

Can I open my report again after downloading?

Save the PDF securely for your appointment. The completed check cannot be reopened. While the download page stays open, Save PDF again uses the copy already received in that browser tab. If the transfer is interrupted, retry promptly: there is a recovery window of up to one hour before automatic cleanup, refreshed when you retry downloading the same report.

Who receives my information?

VacciFly uses its configured AI processing providers to read and cross-check uploaded records. Hosting, storage, payment and email providers process the information needed for their roles. VacciFly does not publish your records in its public pages, directory, sitemap or AI-discovery files. Review the privacy notice before uploading.

Does VacciFly sell health records or use advertising trackers?

VacciFly does not sell vaccination records or use them for targeted advertising. The standalone website does not include advertising trackers. Operational hosting and security logs, essential browser functions and service providers still process information needed to run the service.

Is my data encrypted?

HTTPS encrypts the connection between your browser and VacciFly. Hosted configuration checks require database encryption with certificate verification, and hosted report email requires an encrypted, certificate-verified connection. Private file storage supports customer-managed keys. Live database, file and backup protection still needs verification. AI providers need to read the submitted record, so the workflow is not end-to-end encrypted from those processors. See the security page for the safeguards and their limits.

Can I request access, correction or deletion?

Yes. Contact support@vaccifly.com and describe the request without attaching medical records to the initial email. We may need to verify your identity and authority. A confirmed deletion request can close access before storage cleanup finishes; payment obligations, security records, provider retention and copies already downloaded or emailed may have different rules.

How does VacciFly approach HIPAA and GDPR?

VacciFly does not claim HIPAA certification or blanket GDPR compliance. Privacy controls support principles such as limited access, transparency and data minimisation. Applicable obligations depend on how the service is used, the organisation involved, provider contracts and the live hosting configuration. Healthcare organisations should confirm required agreements and safeguards before uploading patient records.

Can I upload records for my child or a patient?

Only if you have the appropriate authority and permission to use the records for this check. Keep each person's data separate. A parent or guardian manages a child's check; healthcare organisations also need to follow their own privacy, consent and professional obligations.

How should I protect my private check link?

Treat it like a password: someone with the link may be able to open the check. Do not post it publicly, forward it to unverified recipients or paste it into an online chatbot. On a shared device, close the check when finished and protect any downloaded files.

Are my records used to train AI models?

VacciFly does not run model-training jobs on your records. Processing and any retention by AI service providers are governed by the API product, account configuration and provider terms. We do not make a blanket zero-retention or no-provider-training promise across every account; contact support if your organisation needs a specific processing agreement.

Payments & help

Can nurses and clinics use the same VacciFly service?

Yes. One VacciFly service costs $4.99 per report. Choose the patient option, or start from the nurses and clinics page, for patient details, record origin, destination, arrival date and clinical review wording. Create a separate check for each patient, with permission to process their records. Families keep their traveler workflow and combined checkout.

How much does a report cost?

Each personal report costs $4.99, including any applicable tax. A family of two pays $9.98. The app shows the total before checkout. It is a one-time purchase with no subscription; your bank or payment provider may apply currency-conversion charges.

What if I paid but cannot download the report?

Keep the check page open and refresh its payment status before paying again. Retry an interrupted download promptly. After a completed download, check your Downloads folder or use Save PDF again while the tab remains open; the online check is closed. Contact support@vaccifly.com with your transaction reference if delivery failed. We will investigate the available remedy. Do not include full card details or medical records in the initial message.
